It is the dream of many a business owner to make their office paperless.
While it may be impossible to completely do away with paper, there are a number of steps you can take to cut down your use of hard-copies.
1) Give web conferencing a go. Think about all of the documents you print out before an in-person business meeting - agendas, schedules, lists, graphs and more. What if you could share these documents, but not have to waste paper in doing so? That is the magic of web conferencing!
When combined with a teleconferencing service, you can use it to conduct meetings with people in multiple locations without any paper at all!
2) Store documents online. There are a number of services available that allow you to keep important files online. One of the most popular is Dropbox, which enables you to access documents from computers, phones or tablets, as well as share them with business associates in a safe and secure way.
There's also Google Docs, part of the Google Drive service, which permits users to create, edit and share documents online and collaborate with others in real time.
3) Get clients involved. You can encourage clients to email documents to you, rather than fax or mail them. This should also make your correspondence with clients a whole lot faster and should help you keep better records too!
4) Try internet banking. This is popular among people with personal and professional banking accounts, and there is no wonder - it is efficient, will save you money on postage and should help you get all your payments in on time.
5) Identify 'super users'. According to Inc., one of the best ways to go paperless is find out which of your employees is the most tech-savvy and enlist them to teach others the benefits of using devices such as tablets and smartphones instead of paper.
